Tips & TricksIn our series "IDNV Tips and tricks", we regularly send our subscribers some tips for their work with IDNV-Order. Here we have posted some of them. Please have a look below, maybe you will find some interesting information for your own work! Tip 24: How to search for complete wordsIn some fields such as "Complete title " or "Composer", you can search for word beginnings. For example, if you type "Bach", the program will also find "Bachmann" or "Bacharach". If you wish to cut down the search results and just search for one complete word, all you need to do is type in a comma after the word, so "Bach,". This way, you will only display data with "Bach". If you would like to search for just "Johann Sebastian Bach", you can type in "bach, j s" or "j s bach". The word order and upper case / lower case do not make a difference. Tip 23: How to import your customer data into the IDNV database "Customers"With the IDNV database "Customers" in IDNV-Order, you have the possibility of managing your customer data and of allocating specific orders to them. In one of the previous tips, we already showed you how you can enter customers in the customer database manually. However, you can also easily import your customer data. This is how it works: Please save the file to be imported in text format (Tab delimited). Then, please go into the program to the menu File -> Import -> Text files. Then you can choose the appropriate file and click on Open. This opens the import window.
In order for your data to be imported into the right fields, you should now match the fields: If your data doesn't begin in the first line of your text file (maybe the file contains headers), you can enter the appropriate number on the right in "Ignore starting lines". The data will be imported starting at the line of your choice. If required, you can enter further settings. When you have finished, please click on "Import". Your customer data is now in the IDNV! Tip 22: With the online update function, you always have the latest data!Do you use the online update function regularly? The participating publishers update their catalogues on a regular basis. This means the IDNV receives new items and item and price changes daily. The IDNV editorial team checks all the incoming data and publishes it on the same day to all users of the IDNV via the online update facility. Just last year, a good 120,000 items and over 200,000 prices were added or changed by the participating publishers! This way, you have the latest information and are always working with current, high-quality and standardised data. It is particularly important for prices to be up-to-date. This is how you proceed: The online update works in the same way as when you send your orders. For this, just go to the menu "Data exchange", and make sure that you have ticked "Receive master database updates" and "Import master database updates" as well as "Send to Server" (to send orders). Then, just click on "Start" and the program will do the rest for you. This way, you will always update your databases everytime you send orders to your suppliers. Of course, you can do the online update anytime to receive the latest data even if you don't have any orders to send at that moment. Tip 21: Do you use the IDNV ordering system?You can order your items you have found in the IDNV directly through the system and save a lot of time! Here we would like to show you how easy it is to order via the IDNV. The program sets everything as you need it. Therefore you can't really do anything wrong. This is how it works: You can choose the items of your choice and then click on "Order". (Tip: you can also work with a barcode scanner). The supplier is automatically set by the program and only needs to be changed if required. You therefore only need to enter the quantity ("units") and then click on "Add order" to finish. The program gathers all the items into orders to each supplier. Important: the order has not been sent yet! Therefore you can change it as often as you like or delete it. The IDNV enables you to send your orders to your suppliers via a secure transmission. For this, please go to "Data exchange" and then click on "Start", the program does the rest. The orders get sent to the appropriate suppliers. Ordering with the IDNV is no secret. Just try it out and you will see that the IDNV can really help you in your daily work. Tip 20: Automatic key update via the Online Update facilityAs you may already know, the renewal of the program key has been happening automatically via the Online Update facility since the introduction of IDNV-Order version 1.3 (2007). Therefore you have not needed to look after this yourself. In order for this to work well also in the future, it is important for you to carry on performing the data exchange on a regular basis, otherwise, you might not receive the change in time. If you are not sure whether you are working with the program IDNV-Order 1.3, you can click in the program on the question mark "?" (in the menu bar) and go to "About IDNV-Order …". Here, the program version will be indicated. If you are still working with an older version, you can download the newest one easily. For this, please let us know and we will send you the access data. At some point, you might need to enter the key manually, for example if you install the program on a new computer. In that case, please give us a call or write us an email and we will give you your current key. Tip 18: Exact search in special casesDo you sometimes look for words that contain for example "," or "-" or "/"? If so, the program will interpret these characters as program commands. Here is a trick to avoid this: you can put your search criteria in inverted commas so that the command function is deactivated. Example: "S-E-A-R-C-H" (Inverted commas and search criteria) Tip 16: Typing-scannerDo you already know about the typing-scanner? If you have problems to scan a barcode, for example if the print quality is bad, all you have to do is go to the File -> Open typing-scanner, or press on "F9" on your keyboard. This way the typing scanner will open, in which you can type the barcode of your choice and then click on "Send". With the typing-scanner, you can also create a list. To do this, you need to tick the box "Keep open" and then simply enter or scan several items one after the other. |
